EARTH 2020 – Travel Information

Travel

As an EARTH participant, you will receive travel support to attend this workshop. You may fly, drive, or take public transit to the workshop, depending on your location. LaGuardia Airport (LGA) is about 17 miles away and John F. Kennedy International Airport (JFK) is about 30 miles away. Westchester County Airport (HPN) is 18 miles away and more convenient, although there are fewer flights. Please complete the 2020 Travel Form no later than April 17th, 2020, so we can get a sense of our travel costs for the workshop. Please do not make any bus, train, or car reservations until your travel has been approved. You will be expected to make your own travel arrangements, and reimbursements will be processed as soon as your receipts are submitted at the conclusion of the workshop.

If you are driving long distance, MBARI will reimburse actual mileage only up to the cost of a reasonable round trip air ticket.

Housing

We will be using the Mercy College dormitories for housing. The current plan is for you to share a room with another teacher. If you are thinking of bringing a significant other, that may be possible depending on space – please let us know as soon as possible (and you will have to cover their portion of the room costs).

Housing before and after the workshop will be on your own. If you are interested, please be sure to let us know so we can see if we can secure the same room rate. 

We will coordinate transportation to the Mercy College campus once we see who is driving and who will have rental cars.

What to Bring

Clothing: August in New York is generally hot and humid. Shorts and other casual clothing are appropriate; however, the classrooms may be chilly due to the air conditioner so bring a light jacket or sweater to wear indoors. Also bring a set of clothes that you don’t mind getting wet and/or muddy during our day in the field. We will have one night on your own where you may wish to travel into NYC (~30 minute train ride); if so, you might consider clothing to wear out to a restaurant, show, or whatever you decide to do in NYC.

Shoes: Open-toed shoes are OK, but please plan on bringing appropriate (and comfortable) footwear. For the fieldwork day, you may which to have Keens or other shoes you can wear in the water.

Toiletries and other supplies: There are grocery stores and chain pharmacies not far from campus if you need to pick up snacks, toiletries or other necessary supplies. 

Other: We will provide a notebook and water bottle for you at the workshop. Bring a hot cup if you like coffee/tea. 

Computer: We are expecting that you will bring a laptop computer. If you do not have one and will need to use one, please let Meghan know at mmarrero3@mercy.edu as soon as possible so that we can borrow one from the College for the week.

Reimbursement

Itemized/detailed receipts are required for ALL expenses. (We may not be able to reimburse you if we do not receive itemized receipts.) Alcohol cannot be reimbursed. If possible, please purchase alcohol on separate bill.

Reimbursements will be processed as soon as all receipts are received at the conclusion of the workshop.
